Terms and Conditions

A Class Corporate Travel Terms and Conditions By accessing and using our service you accept and agree to be bound by the terms and provision of this agreement. In addition, when using our service, you shall be subject to any posted guideline or rules applicable to our service. Any participation in this service will constitute acceptance of this agreement. Your contract with A Class Corporate Travel is subject to the laws and jurisdiction of the United Kingdom.

Definitions

operator is the contracted individual, business, company, transporter, or carrier that provides ground transportation services for the physical movement of a person or people.  It includes their driver and all other employees.

customer is the person, body, or organization who booked a charter service or ground transport with us.  It includes all employees, office holders, staff, traveling passengers, and any assistance animals.

Force majeure is defined as an unforeseen legal or physical restraint because of war, terrorism, civil unrest, strikes, flood, fire, and other abnormal extreme weather conditions, epidemics, pandemics, and acts of Government or regulatory authorities.

 Quotations

The quoted price given is for the use of the operator and vehicle only unless stipulated in writing by us.  The times and duration of all journeys are advisory only, based on known facts at the relevant time, and not guaranteed by us.
You agree to provide us with all the relevant and accurate information about the travel, purpose, and vehicle requirements to enable us to provide an informed and accurate quote and booking confirmation.  You agree to not mislead or withhold any information that you reasonably know, or ought to know, maybe potentially relevant at the time of the quote or booking.  Failure to comply with this term will result in the cancellation of the booking at our sole discretion where it presents a previously unknown risk to us or the operator, or we cannot meet any requirements under law, or where additional fees and charges would have been payable in all the circumstances.  


It is the customers responsibility to accurately determine the departure time for any journeys contained within your booking, to ensure you arrive at your destination on time.  You must reasonably account for and allow additional time for any foreseeable potential delays, obstructions, the possibility of an unforeseen event, any other potential risks, or consequential loss in all the circumstances when determining your departure and journey times.  We caution you that transportation is particularly at high risk and susceptible to traffic congestion, roadworks, road diversions, bad weather, other vehicle mechanical breakdowns, and accidents that can significantly hinder, impede, or prevent scheduled on-time arrival.  The more critical your arrival time is, the more additional time you must allow.

You certify and warrant your booking does not require the vehicle to travel on any roads that are unreasonably obstructed, that may potentially hinder or prevent the operator or vehicle from completing the journey or booking.  This includes but is not limited to, weight-restricted bridges or roads, unsealed roads, narrow access points, overhanging trees or wires, low-level underpasses, or roads with unsafe turns or inclines for the vehicle type booked for the journey.  You accept full responsibility and liability for taking all reasonable steps to ensure the route is free from any obstruction.

Please note any quotation is subject to  any increases that may occur in any applicable charges such as airport charges, fuel surcharges, road tolls, ferries, entry fees or parking charges will be payable by you in addition to the quoted price.  See also ADDITIONAL FEES & CHARGES below.  Prices are current at the time of quotation and subject to availability at the time of booking.
Any photos of vehicles displayed or provided by us are illustrative only and may be a different make, model, and year with a different livery and appearance to that actually supplied to your booking.  Any reference to vehicle facilities, equipment, and entertainment is for general information and not guaranteed unless specifically requested by you in writing and confirmed by us in the booking confirmation.

Bookings

When a booking has been requested by written or verbal communication this booking is now placed and the hire agreement is between the booking person or parties thereof. Any outstanding amounts will become liable for settlement.

It is your responsibility to check all booking confirmations, immediately upon receipt, for their accuracy and completeness.  You must provide us reasonable notice in writing of any discrepancies, mistakes or concerns to be corrected.  Reasonable notice is within 24 hours of the booking being confirmed and at least 3 days before any journey commences.

By placing your deposit with A Class Corporate Travel you are accepting the terms of this Agreement, which incorporate the information, restrictions and obligations detailed herein. You thereby agree to abide by the entire agreement between A Class Corporate Travel and yourself with regards to your booking and your travel arrangements. You also consent to us processing personal information you have supplied to us and other members of your travel party, should this information be provided to us.

Once A Class Corporate Travel receives your written confirmation of hire the full terms of payment are to be adhered in line with our terms and conditions. Your contract with A Class Corporate Travel is subject to the laws and jurisdiction of the United Kingdom.

Bookings must be paid for in full before the departure date. A Class Corporate Travel reserves the right to terminate the booking if the payment has not been made in full unless otherwise agreed in writing.

Payments can be made by BACS, Transfer, Credit or Debit card. All card payments are subject to a surcharge.

A Class Corporate Travel reserve the right to refuse or terminate a booking should we consider a booking has been placed using deceptive or fraudulent means.

Vehicles

Should your allocated vehicle be unavailable, A Class Corporate Travel will endeavour to match or exceed your booked vehicle with an equivalent or better model. However, A Class Corporate Travel are unable to guarantee any specifications to vehicles, including (but not limited to); interior features, possible decorative themes, amounts of inclusive beverages and colour scheme (including body colour) of your vehicle. We will provide through an affiliate partner or network a vehicle as ordered by the Client to undertake the hire in a satisfactory and legal manner.

A Class will notify you of your vehicle change as soon as possible, however should you refuse to accept the new vehicle your booking can be cancelled and refunded, if you accept the vehicle and the journey is provided, this is an acceptance of hire, and no reimbursement for the change of vehicle will be offered.

If your vehicle booked with A Class becomes unavailable, A CLass will offer alternative vehicles, however there may also be additional charges provided by affiliate partners, A Class will not be responsible for these additional charges, and these will be passed on directly to yourselves the hirer.

These charges will need to be paid in full in accordance with our terms prior to the hire date.

A Class reserves the right to provide larger vehicles than the specified at no additional charge

Your hire is specified to your confirmation and if you have an outward and return journey, the vehicle may be used for other purposes. Hires in between this period and the hirer may not presume the use of the vehicle apart from the transit provided, if you are wishing to leave belongings/items on board during this time, please check that this is possible before the start of your journey.

The company reserves the right to levy charges for additional mileage or time than that agreed

Please be advised that due to the current economic climate and constant changes, that at any time, should there be an increase in fuel, or any similar circumstance, your hire cost may change, even once booked and these charges will be passed on to the hirer, whilst we endeavour to keep our costs at the confirmed price at time of hire, we have no control over the ever increasing rises,

You cannot assume the use of the vehicle between outward, return, and multiple journey legs unless specifically agreed in writing by us.

Amendments
 A Class Corporate Travel Terms and Conditions By accessing and using our service you accept and agree to be bound by the terms and provision of this agreement. Your contract with A Class Corporate Travel is subject to the laws and jurisdiction of the United Kingdom.

If you wish to amend a confirmed booking, you must contact us directly and obtain a new booking confirmation, any amendments may be subject to additional fees and charges, The operator does not hold any authority on our behalf to agree to any changes or to charge additional fees.  There are certain circumstances we may agree to a booking amendment and for you to pay any additional fees and charges directly to the operator, but only with our express and prior permission.

Routes:

Covid 19

A Class will not take any passengers that are testing positive for Covid 19, and if we are notified of this, we will place your booking on hold for a further date, no more than 12 months after you have notified ourselves, any changes to hire will be subject to our administration fee, and the cost of hire may vary for your new date.

If our drivers test positive for Covid 19, we will inform yourselves, if we cannot provide the vehicle due to driver shortages from covid 19, we will move your hire date free of charge, for a date within the next 12 months.

If circumstances permit we will source a new vehicle, which may incur additional charges, A Class will offer yourselves the option to move your hire date or accept the new vehicle from an affiliate partner, however if there is an additional charge from this partner, this cost will be covered by yourselves and does not fall under the responsibility of A Class.

Breakdowns

A Class Corporate Travel will not be held responsible for financial or personal loss to you or any member of your group in the event of mechanical failures and events beyond its control. Events beyond A Class Corporate Travel’s control include (but are not limited to) war, threat of war, riots, civil disturbances, terrorist activity, industrial disputes, natural and nuclear disasters, fire, epidemics, traffic congestion, road accidents adverse weather conditions or other maters outside its control technical problems with transport including changes due to rescheduling or cancellation of hire by A Class Corporate Travel or alteration of the vehicle or vehicle type for reasons beyond A Class Corporate Travel’s control. These terms of conditions advise no responsibility or liability A Class Corporate Travel UK Ltd, Unit E1, Telford Road, Bicester, Oxfordshire, OX26 4LD Tel: 0800 0433 263, Fax: 01869 320 432 whatsoever can be accepted by A Class Corporate Travel known with A Class Coach Hire for any of the above conditions. Both parties expressly recognize in transport such as coach and mini bus hire that in all normal circumstances in business without negligence that delays can

All reasonable efforts will be made to enable Passengers to be reunited with lost property. Lost property found on a coach will be retained and disposed of by the holder in accordance with the Public Service Vehicles (Lost Property) (Amendment) Regulations 1995. Articles found on the coach must be handed over to the driver or Courier of the coach.

A Class Corporate Travel cannot accept responsibility for any breakdowns on your hire vehicle, due to means beyond our control Should your vehicle breakdown, A Class Corporate travel will endeavour to find a replacement vehicle for you If for any reason a replacement vehicle cannot be supplied, A Class will refund your payment but do not accept any responsibility for any further charges or cost paid by yourselves. This without further liability cancels the contract.

The Company will not be liable for any loss, damage or delay resulting from the leaving of any item of luggage on board

A Class Corporate Travel cannot accept responsibility for delays caused by closed or congested roads, villages, towns and cities, hurricanes, other actual or potential severe weather conditions and any other similar events. Whether this affects timings of pick-ups and/or cancellation of the hire

We will provide through an affiliate partner or network a vehicle as ordered by the Client to undertake the hire in a satisfactory and legal manner.

Delays

As provided in these terms and conditions no responsibility or liability can be accepted due to traffic congestions road accidents, adverse weather conditions, mechanical breakdowns or any other maters outside its reasonable control. We retain the right due to operational reason to supply a replacement vehicle. If the Client due to the above refuses to wait for a replacement vehicle no refund will be settled.

A Class Corporate Travel cannot accept responsibility for delays caused by closed or congested roads, villages, towns and cities, hurricanes, other actual or potential severe weather conditions and any other similar events. Whether this affects timings of pick-ups and/or cancellation of the hire.

Delays by you

If for any reason you are delayed we must be notified via direct communication , no later than 15 minutes before the booked departure time, notify us of any potential delays to departure.

If you have contacted us to notify us of a delay of between 15-30 minutes from the departure time, we will continue with the booking,however this may be subject to any additional fees and charges

If you have contacted us to notify us of a delay or more than 30 minutes from the departure time, we will endevaor to ensure every effort is made to continue with the booking but this will be subject to the operator’s availability, and payment of any additional fees and charges payable.

Your booking will be cancelled in the following circumstances:

  • Where you notify us prior to the departure time of your delay, and it is likely to be or is more than 30 minutes from the departure time, which would  hinder or prevent the operator’s other bookings or commitments; or 
  • If you fail to arrive within 15 minutes of the departure time, and you fail to contact us, and our attempt to contact you is unsuccessful.

Where your journey or booking is deemed as a no-show, the entire booking fee and charges are forfeited to us, and no money is refundable to you. 

 We will continue to perform any remaining journeys in the booking, where you comply with these terms and conditions.  We hold no responsibility or liability for any alternative or replacement transport or for any other loss suffered by you or any third party as a consequence of your no-show.

Cancellations
Cancellations will only be accepted via telephone or by writing that has been confirmed as received by A Class Corporate Travel. 
Cancellations will not be accepted via e-mail unless agreed.
No cancellation is confirmed until you have received an acknowledgement of such. 
Your 50%deposit is non refundable and will be retained at all times, regardless of the time of cancellation.
 
 
Cancellation refunds as below
 
• 14 Days prior to travel – 50%
• Less than 7 days 25%
• Less than 24-48 hours -no refund due
If A Class Corporate Travel issue under their discretion a credit note the value will remain in force from the date of issue until a further 40 days at midnight on the 40th date the credit note will be cancelled. No further credit note will be issued, no money value will exist at any time a credit note does not accept liabilities, a discretion only.
where we cancel

 in the event that we are unable to provide a vehicle or vehicles to meet all or part of your booking, due to unforeseen issues, emergencies, operator or vehicle unavailability, and any other reasons, we will take all reasonable steps to provide a replacement operator or vehicle, or other alternative solution to meet your transport needs. If for any possible reason this is the case, i we retain the right to cancel the booking and refund all monies paid by you on a pro-rata basis, without responsibility or liability for any foreseeable and consequential loss suffered by you, providing as much notice as reasonably possible in the circumstances.

cancellation of force majeure

A force majeure, as defined in the terms and conditions, is an event that directly hinders or prevents you from boarding the vehicle, or us from providing the vehicle at your pick-up point or your destination, and shall void the booking and performance requirement where reasonable notice is provided by you or us.  Reasonable notice means the written notification is provided within 48 hours of the event where we or you knew, or ought to have known, would likely hinder or prevent the booking.  In these circumstances the booking is canceled, no monies are due or payable for the booking, all prepaid monies are to be refunded, no cancellation fees or charges payable, and no compensation is payable.

Right to refuse travel:

A Class reserve the right to refuse travel or remove passengers from any hired vehicle in the events that

1.offensive, disruptive aggressive or violent manner

2.be a threat to themselves, other passengers, the driver or vehicle.

3.be heavily under the influence of alcohol or drugs

4. be in possession of any unlawful substance

5.Fail to comply with any applicable laws, instruction or regulations

6.have breached any terms and conditions

7.causing damage to the vehicle.

Any additional costs as a direct or indirect result of this, will be borne by the client, and you will not be entitled to ny refund,credit or compensation,

 

Complaints

If you have a complaint about your arrangements please contact our Customer Service Department at the address given at the end of these Terms and Conditions, within 7 days of returning from you hire, to allow your complaint to be investigated by A Class Corporate Travel properly. Please write you’re booking reference number on your letter and include your daytime and evening telephone numbers. Failure to supply any part of this information will result in A Class Corporate Travel dismissing your complaint. If you do not give A Class Corporate Travel the opportunity to resolve any problem locally by reporting it to your driver (during the hire period), then A Class Corporate Travel may not be able to deal positively with any complaint on your return and dismiss any request from you for refunds and/or compensation.

A Class Corporate Travel reserve the right to change the vehicle requested for a hire by you at any time. This includes (but is not limited to) the colour and the style of the vehicle (including model type). A Class Corporate Travel will only do so if we feel the requested vehicle is unfit to carry you and your passengers, A Class Corporate Travel cannot guarantee to match your original vehicle. By placing a booking, you are confirming you are accepting this policy, and we will not be held responsible for claims regarding this policy by you against A Class Corporate Travel.

Use of prohibited substances and smoking in any vehicle is banned at all times. Should our drivers become aware of any such transgressions from you or your travelling group. A Class Corporate Travel will reserve the right to cancel the hire with immediate effect and eject all A Class Corporate Travel UK Ltd, Unit E1, Telford Road, Bicester, Oxfordshire, OX26 4LD Tel: 0800 0433 263, Fax: 01869 320 432 passengers at the first safe place to do so. A Class Corporate Travel will not be held

accountable for any resulting travel costs and A Class Corporate Travel will inform relevant authorities

Damage

Any damage caused to the vehicle by any member of your party shall become the sole responsibility of you. Any costs associated with repairs and damage must be paid by you in the time frame agreed with A Class Corporate Travel. An additional daily charge may be imposed should the vehicle be taken out of commission a daily hire rate effective to that vehicle. Criminal Damage may be reported to relevant persons/authorities

A Class Corporate Travel accepts no responsibility for claims on number of passengers being carried in a vehicle. Any comments made by agents, drivers or suppliers will be classed as a personal opinion and will not represent the views of A Class Corporate Travel. We will place a vehicle hire based on the number of passengers that the vehicle you have booked is designed for.

A Class Corporate Travel recommends adequate insurances arrangements are in place for events and special occasions booked by you. Therefore, A Class Corporate Travel recommends you speak to your Insurance Adviser to ensure adequate cover is arranged for your event/occasion. A Class Corporate Travel are not authorized to discuss relevant insurance options with you, nor do we offer this type of insurance, and are unable to offer guidance on obtaining cover.

This site and its components are offered for informational purposes only; this site shall not be responsible or liable for the accuracy, usefulness or availability of any information transmitted or made available via the site and shall not be responsible or liable for any error or omissions in that information.

“The company reserves the right to change these conditions from time to time as it sees fit and your continued use of the site will signify your acceptance of any adjustment to these terms. If there are any changes to our privacy policy, we will announce that these changes have been made on our home page and on other key pages on our site. If there are any changes in how we use our site customers’ Personally Identifiable Information, notification by email or postal mail will be made to those affected by the change. Any changes to our privacy policy will be posted on our site 30 days prior to these changes taking place. You are therefore advised to re-read this statement on a regular basis

A Class Corporate Travel reserves the right to alter or amend these terms and conditions at any time. Should A Class Corporate Travel decide to do so, A Class Corporate Travel will e-mail these Changes to you on your e-mail address no less than 10 days prior to your event day. You have 7 Days in which to raise an objection to the amendments. Should A Class Corporate Travel not receive a reply from you then we will assume you have accepted our new Terms and Conditions, and no correspondence will be entered in to.

Agency Agreements:

Where we (the company) hire in vehicles from other operators at the request of the hirer, or to ensure the hirers requirements are met, and where the company arrange ancillary facilities including, accommodation, ferries, meals, admission tickets or any other services provided by another supplier, it does so as agent for and on behalf of the hirer.

Any terms and conditions imposed by such other suppliers through the company shall insofar as they are supplied to the hirer, be binding on the hirer as if he has directly contracted such services.

The hirer shall indemnify the company against any loss, claim, or award in respect of a breach of such supplier’s terms and conditions brought about by the hirer’s actions.

No part of these Terms and Conditions affects your rights as a consumer. These Terms and Conditions are in addition to your rights as a consumer.

1A/ Definitions

A Class agreement is we agree to carry passengers as advised at the time of booking with a average amount of luggage to and from the journey requested and agreed.

1B /

Passengers are expected to check the agreed times and destination of booking with the appropriate booking representative within their hire group.

1C/

Emergency breaks all passengers must return to their seat as quickly and safely as possible.

1D/

Breaks all breaks must be agreed with the driver and all legal driving breaks as required for the driver must always be permitted. All drivers are subject to EC561/2006 driving regulations and these must always be adhered to.

1E/

Routes The driver unless previously advised will maintain the right to decide the route to be taken.

Our Commitment to all travelling Passengers

We are committed to promoting access to our services and offering choice wherever possible in the services we provide. Our staffs are responsible for providing an efficient, caring and professional service.

Passengers Property

  • • All vehicles hired by the company are subject to restrictions on carrying luggage for statutory safety reasons. The hirer accepts that the driver shall be the sole judge as to whether and to what extent passenger’s property is carried. Large bulky items may not be able to be carried, and the hirer should take all steps to notify the company in advance of such requirements.
  • • The company accepts any personal property of the hirer and their passengers on the understanding that it will take all reasonable steps to avoid loss or damage. The hirer should notify the company or the driver if items of exceptional value are to be carried on the vehicle. It is the hirers responsibility to minimise risk of loss when property is left unattended.
  • • A Class Corporate travel cannot be held responsible for any items left on board, or that are lost during your hire, all luggage is transported at your own risk, and if items are left on board, A Class Corporate travel do not accept responsibility for any loss or damage to passenger’s luggage

Surcharges

Once a confirmation has been issued to the hirer, providing there are 28 days prior to the departure date,

A Class reserves the right to pass on any increase in the cost of fuel or any Tax imposed by the Government of the UK. This will apply to any other Country which is visited during the hire. This will include parking / road tolls / ferries.

Cancellations by A Class

In the unlikely event that A Class is not able to provide the booked vehicle or vehicles for the hire as requested due to road traffic accidents / emergencies / vehicles unavailability A Class reserves the right to cancel the hire and return all paid funds without liability to cancel the contract in full. The company’s maximum liability is subject to the value of the booking only. A Class will have no liability for any inconvenience or loss incurred and will not be liable for any losses. We strongly recommend that insurance is taken against any risk.
